
Meeting Minutes
The regular meeting of the Board of County Road Commissioners of the County of Calhoun was held Wednesday, June 2, 2004 at 9:00 a.m. in their office located at 13300 Fifteen Mile Road, Marshall, Michigan.

Chairperson Chester Travis called the meeting to order at 9:01 a.m. There being no additions or corrections to the regular meeting minutes of May 19, 2004, they stand approved as printed and distributed.
COMMUNICATIONS
Letter from Jensen Bridge & Supply regarding culvert bid withdrawal
UNFINISHED BUSINESS
Commissioner Veramay suggested Carole Tabiadon, Deputy Managing Director, be delegated as the authorized signer for the public auction sale of Garfield Pit; July 15, 2004 at 6:00 pm at Golden Gavel Auction Facility. He stated that he would probably attend and assist.
NEW BUSINESS
Moved by Commissioner Veramay and supported by Commissioner Travis to delegate Dennis Randolph as voting delegate; Joanna Johnson as alternate delegate to the Michigan County Road Commission Self-Insurance Pool's Annual Business Meeting on July 22, 2004 at Shanty Creek. Voice vote: Motion carried.
Moved by Commissioner Veramay and supported by Commissioner Travis to award the Fuel Card Bid to Wright Express, per attached bid tabulation sheet. Robert Volkmer, Equipment Supervisor, said it would be better for the agency if we can buy fuel as it fluctuates, instead of buying at a higher cost and having to use it up after the price goes down. Commissioner Travis inquired about the information the vendor would provide. Mrs. Tabiadon stated that the employee would have to furnish their vehicle number; employee number; vehicle mileage at the pump. The information would be sent electronically to us with the date and time of sale, as well as the type and amount of fuel. Voice vote: Motion carried.

Moved by Commissioner Veramay and supported by Commissioner Travis to approve the May 25, 2004 accounts payable for $353,217.36. Voice vote: Motion carried.
Moved by Commissioner Veramay and supported by Commissioner Travis to approve the May 26, 2004 payroll for $132,378.67. Voice vote: Motion carried.
OTHER BUSINESS
Mr. Randolph provided the Board with the following information:
He introduced Dr. Abaudi, of Western Michigan University, and students from his summer program.
The cash report has improved from last year. The budgets are where we want them to be right now.
We are paving in Convis Township with our crew.
A contractor is paving on M-60 between Homer Village and Jackson County.
The Beadle Lake Road project should be starting next week.
The crews are all patching, except the paving operation, getting ready for sealing to start on Monday.
We received almost 300 telephone calls for trees last week due to the storms.
He provided a letter from Marshall Township to MDOT regarding crossovers.
We are only 1” of rain ahead of last year … it seems like much more.
Jensen Bridge bid withdrawal was due to increased steel prices. He postponed the 15 Mile Road bridge project for that same reason.
Robert Brownell, Marengo Township Supervisor, said that there were potholes on 22 ½ Mile Road between H Drive North and I-94; as well as on H Drive North east of 22 ½ Mile Road of various sizes.
Eugene Hamaker, Marshall Township Supervisor, said that they had plenty of tree problems and some potholes on Verona Road, 13 Mile Road and 15 Mile Road. He stated he would appreciate any assistance that the Board could provide regarding his issue with MDOT.
Tom Frank, Albion Township Supervisor, said that he was anxious for the sealing operation to begin. He said the potholes are being controlled.
Joseph Bramble, Convis Township resident, said he was glad to see N Drive North being paved. He said that Junction Road has potholes and 17 ½ Mile Road needs some serious attention before any sealing.
Clarence Millard, Newton Township resident, said that he toured the roads this morning and turned in a list of problems upstairs. He wanted to thank the Sheriff's work crew for patching; they did a very good job.
Larry Holcomb, Convis Township resident, provided the Board with a typed presentation regarding the sale of the Garfield Pit location. He had several issues with how the sale was going to take place. He stated that he would like to see it not become developed. He walked it in December, took pictures and feels it needs major clean up before any building can be done. He is very much against the Road Commission retaining any portion of it for a future park.
The next regular meeting of the Calhoun County Road Commission Board is scheduled for Wednesday, June 16, 2004 at 9:00 a.m. in their office at 13300 Fifteen Mile Road, Marshall Michigan. There being no additional business before the Board, Chairperson Travis adjourned the meeting at 9:49 a.m.
